  • We should plan for 30 people for the event.
  • Round-trip plane tickets from the US (for Mel and possibly Greg) cost approximately $1000 USD per person regardless of what dates we get them for (arriving Thursday-Sunday, departing Saturday-Tuesday).
  • Action items are being logged at POSSE APAC Planning.

[edit] Log

10:02:36 < aho> we can start
10:02:47 < aho> I only have two points
10:03:03 < aho> u managed to get the costing for flight?
10:03:49 < mchua> Yes, it looks like tickets are approximately $1000 USD per
                  person, round trip.
10:03:53 < mchua> If we get them now.
10:04:09 < aho> ok...Give me a week to work on the budget
10:04:17 < aho> can u reserve the ticket?
10:04:22 < aho> till next monday?
10:05:07 < aho> We are looking at the school's accommodation. We have to look
                at alternative
10:05:24 < mchua> For me, or for me and Greg?
10:05:44 < aho> I will work on for both and request for approval
10:05:55 < mchua> I can reserve the tickets now, but if we cancel or move the
tickets, we'll probably get a penalty.
10:06:05 * mchua checking to see what that might cost
10:06:21 < mchua> So if that's okay, then I can reserve them.
10:06:32 < aho> yeah...I will submit for both of u first and see what comes back
10:07:15 < mchua> Ok. I checked a few date ranges and it seems to be about
$1000 USD no matter what date we arrive/leave on, if we get
                  it this far in advance.
10:07:55 < aho> China has is working on 15, and we are working on 5 to 10in SG
10:08:11 < aho> oh...is it online?
10:08:13 < mchua> So if you want us (or one of us) to come on Thursday or
Friday to help get set up, we can do that, or leave Monday or
Tuesday to help followup afterwards, we can do that too, it's
just a few extra days to stay.
10:08:49 < mchua> Yeah, online flight searches usually give us the best prices
                  (by a couple hundred dollars).
10:08:52 < aho> I need harish to comment on that
10:08:56 < mchua> Ok.
10:09:37 < aho> u managed to get the list of costing from the first run?
10:09:53 < mchua> I know budget might be a concern, so if it's just me flying
out, or if I work over the weekend, etc. that's totally fine
                  too.
10:10:56 < mchua> And yep, I have the budget from the first run; that's still
on the internalwiki, so I'll just email it to you privately
                 right now, one sec...
10:11:06 < aho> yeah...but we have to get this through...
10:11:46 < mchua> I'll catch up with Greg later today and see if I can post
that on the public wiki - he's been out for travel most of
                  last week.
10:11:49 * mchua nods.
10:12:26 < aho> what is stipends for instructors?
10:12:38 < mchua> When you look at the budget email, you'll see that everything
except for lunch & food is not relevant for this one. :)
10:12:55 < aho> hahaha...nice
10:13:17 < mchua> Ah - for the first POSSE, Dave Humphrey and Chris Tyler from
Seneca developed the curriculum, and taught it
10:13:35 < mchua> So we gave them a stipend because it took a significant
amount of time to put the coursework together.
10:13:46 < mchua> Now that we have the materials, and they're freely reusable,
we no longer have to do that.
10:14:04 < aho> ok...
10:14:41 < mchua> So yeah, this time since we're not paying for lodging and
travel for anybody except for me (and Greg, if there's budget
enough for two), that reduces a lot.
10:14:59 < aho> ok...That's all I have...I really hope I can nail down the
accommodation and budget by next week
10:15:03 < mchua> I talked with Max and he said CommArch can chip in budget to
take care of swag and cool things for the attendees to take
                  home with them.
10:15:14 < mchua> So that's taken care of too.
10:15:15 * mchua nods
10:15:37 < aho> that's good...do we produce it here or u will be bringing it
                over?
10:15:57 < mchua> I think the expenses will really be (1) my (and Greg's)
travel, lodging, and food, (2) food for attendees.
10:16:20 < aho> food in SG is fairly reasonable...
10:16:34 < mchua> I'll either bring or ship it over, so you don't have to worry
about swag at all - I'll let you know what we'll be getting
                  before I order it.
10:16:42 < aho> if I can solve the lodging...that left the airfare...
10:16:59 * mchua looking at different pricing options for tshirts, business
cards, and that sort of thing to see what we can afford - it depends
on how many attendees we get.
10:17:02 * mchua nods10:17:18 < aho> plan for 30 attendees
10:17:30 < aho> I dun expect all to turn up
10:17:35 < mchua> Do we have a call for registrations and a sign-up deadline?
There are a few people I'd like to point towards registration.
10:17:43 < mchua> Ok, I'll plan for 30.
10:17:49 < mchua> #info plan for 30 attendees
10:18:03 < aho> do u setup a registration site?
10:18:10 < aho> for 1st posse
10:18:21 < mchua> We didn't for the first one, we had them apply via email.
10:19:07 < aho> does it matter if I use a free site?
10:19:22 < mchua> Sure, use whatever you want. :)
10:19:33 < aho> http://www.eventbrite.com/event/383040685/?invite=&err=29&referrer=&discount=&affiliate=&eventpassword=
10:19:50 < aho> this is what we use
10:19:56 < aho> ok...I will set that up
10:20:37 < mchua> Eventbrite is awesome.
10:20:47 < aho> ok...is there anything from your side forupdate?
10:21:53 < mchua> A few things that I'll send to the list - nothing huge.
10:22:04 < mchua> Some examples of websites from the classes that POSSE profs
from this summer are teaching now
10:22:18 < mchua> (as examples of what lecturers can do when they go back)
10:22:43 < mchua> Interest from two people (one from Indonesia, one from India)
who found the POSSE website independently and wondered if
there was one coming up in APAC
10:22:48 < mchua> for when the registration site opens
10:23:15 < mchua> and I still need to gather "Intro to Fedora" resources - will
                  do that this week.
10:23:33 < mchua> So my to-do this week is to nail down the curriculum; we
should have a finished one by next Monday.
10:23:48 < mchua> That's all from my side, is there anything particular you'd
like from us for next week?
10:23:59 < aho> yeah...I actually need the table of content too
10:24:05 < mchua> For the curriculum?
10:24:12 < aho> yeah
10:24:39 < mchua> Ok. The rough one is at
http://teachingopensource.org/index.php/POSSE_APAC#Topic_Schedule
10:24:52 < aho> gotthat...
10:24:53 < mchua> The topics shouldn't change; the exercises will.
10:25:06 < mchua> (Instead of being based on both Mozilla and Fedora, they'll
                  be based on Fedora.)
10:25:17 < mchua> (since that's what we'll have people to teach.)
10:25:48 < mchua> So whenever you see the word "Firefox," think "Mel is going
to be making a different exercise for Fedora," and that
                  should be about it.
10:27:21 < aho> ok...
10:27:32 < mchua> Aside from those changes to the exercises, is there anything
you need on the curriculum - a higher level of detail, notes,
                  etc?
10:27:55 < mchua> (I'll try to get as much of that in as possible, but need to
figure out how much to accelerate it on my schedule. ;)
10:28:04 < mchua> Right now I have "redo all the exercises by next Monday."
10:28:19 < aho> At this point, not what is asking for more details
10:28:37 < mchua> Ok.
10:28:38 < aho> but I would expect some request on that
10:28:49 < mchua> Ok, good to know.
10:28:51 < aho> so, we just do it when there is request
10:28:55 < mchua> Yep.
10:29:00 < mchua> That's all I had this week.
10:29:07 < aho> ok...this is good for this week
10:29:24 < mchua> Ok. So you'll be getting registration up, and the budget
settled, and I'll be getting the curriculum finished?
10:29:31 < aho> yup
10:29:34 < mchua> Cool. :)
10:29:35 < mchua> Thanks, Alan!
10:29:37 < aho> and accommodation too
10:29:45 < mchua> Yep.
10:29:46 < aho> cool...c u next week
10:29:50 < mchua> See you then!
10:29:51 < aho> cheers
10:29:55 * mchua posts notes
